JOB TITLE: Guest Experience Specialist

REPORTS TO: Chief Operating Officer

STATUS: Regular Full-Time, Non-Exempt

COMPENSATION RANGE: $20 – $22 per hour

Position Summary:

The Guest Experience Specialist works in partnership the entire staff of Choice Health Network to promote the agency’s mission and champion the agency’s values by the daily execution of the company’s Values Based Customer Service Standards.

From first impression to repeat visits, this role is responsible for ensuring that every client, patient and guest has the very best experience with our organization possible in a dynamic, fast-paced environment. The Guest Experience Specialist will oversee the daily needs of the front office, keeping current on all agency activities, programs, and services, while aiding clients, volunteers, and guests to ensure accurate and complete information is provided. They are responsible for ensuring that the physical office presents a clean, professional image and should maintain an attitude of service and professionalism that is obvious to all guests visiting the agency. As the primary and most accessible contact, this individual should create a warm and welcoming atmosphere that is comforting and relaxing for the public.

This is a key position for company operations. The ideal candidate will be punctual and have exceptional attendance.

Responsibilities and Duties:

  • Answers telephone in a courteous manner and forwards calls during regular business hours to the appropriate company department.
  • Ensure telephone is being monitored at all times during regular business hours.
  • Monitors camera system to ensure safety of guests and staff.
  • Monitors and answers door intercom.
  • Greets and responds to clients/guests/visitors/volunteers who visit Choice Health Network.
  • Ensure the front office is monitored at all times during regular business hours.
  • Monitors lobby for cleanliness and safety.
  • Creates concierge-level service for all persons visiting Choice Health Network, including offering refreshments.
  • Responsible for client check in/out, verifies demographic and insurance information, and collects updated information as needed.
  • Schedules patient appointments according to clinic standards and policies, including follow-ups upon checkout.
  • Places reminder calls for clinic patients.
  • Assists agency departments as needed.
  • Stay abreast of HIV, Hepatitis, and Sexually Transmitted Infection information.
  • Encourages all clients to be involved with prevention and other agency programs.
  • Follows and maintains proper client flow process.
  • Ensures clients are directed to the proper departments for assistance.
  • Transfers calls to the appropriate departments/persons.
  • Other duties as assigned.

Job Qualifications and Skills:

  • Demonstrate multi-cultural sensitivity and experience or interest in working with underserved communities.

  • Excellent understanding of human behavior across the life cycles
  • Excellent communication skills.

  • Familiar with Microsoft Office, Microsoft Word, Microsoft Excel and other Microsoft programs.
  • Demonstrate flexibility and enthusiasm for the services provided by Choice Health Network.
  • Must be able to lift 30 pounds.
  • Must be able to stand for 45 minutes at a time during an eight-hour workday.
  • Must be able to walk for 30 minutes at a time during an eight-hour workday.

Education and Experience:

  • 3 years minimum medical front office skills preferred.
  • 3 years minimum experience working with underserved populations preferred.
  • Experience with Microsoft programs.
